simpl.rent is a solution supporting secure renting that allows for remote tenant verification before signing a lease agreement. The process includes checking identity, credit and payment history, and, depending on the selected option, earnings as well. The outcome of the process is a Tenant Certificate, which helps the landlord or professional make a decision based on structured data rather than solely on an interview and the candidate's declarations.
Why should tenants be verified?
Renting a property is a high-value commitment on an annual scale, which is why the decision to choose a tenant should not be based solely on a sense of trust. Verification allows for a better assessment of rental risk and streamlines the process even before the lease agreement is signed. This is particularly important when a landlord or professional wants to confirm whether they are dealing with the right person, whether there is a risk of late payments, and whether the tenant earns an income that allows them to safely cover the rental costs.
Additionally, in the event of a successful full verification, the Tenant Certificate may entitle the holder to a discount on rent payment insurance. Verification itself does not constitute a guarantee of future payments, but it is a tool that supports risk assessment "here and now," at the moment of deciding whether to enter into an agreement.
Types of tenant verification
At simpl.rent, we offer three types of verification tailored to customer needs.
Single verification package: includes checking identity, credit and payment history, and income for one tenant. A positive result from this verification entitles the holder to a discount on rent payment insurance.
Multiple verification package: covers the same scope as a single full verification, but allows for checking up to 10 tenants for one property within 12 months from the date of purchase. This is a convenient solution when verifying couples or groups, as it eliminates the need to purchase several separate single verifications, lowering costs and increasing process efficiency. A positive result from this verification also entitles the holder to a discount on rent payment insurance.
Single verification without income package: includes identity and credit and payment history verification, without checking income. A positive result from this verification does not entitle the holder to a discount on rent payment insurance.
Current package prices are published in the price list. For private landlords, single and multiple options are indicated there, along with the scope of the package and the time frame for its use.
How to start using a verification package?
Verification takes place exclusively with the tenant's consent. To go through the process, the tenant must receive an invitation and grant the necessary consents during the process. It is not an action carried out without their knowledge.
In practice, it looks as follows:
Step 1. Register or log in to simpl.rent.
Step 2. Go to the Tenant verifications / Verification packages tab.
Step 3. Select a verification package, specify the quantity, and pay for the order.
Step 4. Once paid, the package will be activated immediately. Next, click Verify tenant and send the verification link to the tenant via email, your chosen messenger, or SMS.
Step 5. The tenant completes the verification, and you receive information about the result in the form of a Tenant Certificate.
Process status can be tracked in the panel. The system also provides a verification history – a chronological record of events in the process. This is particularly useful when verification involves a larger number of people, such as a couple or a group of tenants.
How to verify a tenant?
On the landlord or professional side, the entire process boils down to purchasing the appropriate package and sending an invitation to the tenant. On the tenant side, verification takes place in stages.
Identity check: In the first step, simpl.rent checks the tenant's identity. The goal of this stage is to confirm whether the person participating in the process is indeed who they claim to be.
Credit and payment history: In the second step, simpl.rent verifies credit and payment history, based among other things on data from relevant databases. This stage serves to assess whether a risk of late payments exists.
Income verification: In the final step (in the case of full verification), simpl.rent checks earnings. The goal of this stage is to determine whether the tenant achieves an income that allows them to rent an apartment without excessively straining their financial liquidity, and whether they were able to properly document their earnings.
After completing all stages, a verification result is assigned, which is visible in the Tenant Certificate.
How to introduce tenant verification to a prospective tenant?
For a tenant to be willing to go through verification, they need to be properly introduced to the process. It is about building trust in simpl.rent and preempting the most common objections regarding data security, the purpose of the process, and the scope of information visible to the landlord.
The most effective way to converse is based on simple logic. First, ground the conversation in a real financial context – showing that renting an apartment is a commitment of specific annual value. Next, explain that verification serves to mitigate risk and takes place via simpl.rent – a specialized entity that handles the process online. Only then is it worth moving on to a brief overview of the three stages: identity, credit and payment history, and earnings.
In communication with the tenant, it is also very important to emphasize what the landlord does not see. Neither the owner nor the agent receives the PESEL number, identity document number, information on sources of debt, exact debt amounts, or full earnings figures. In the case of earnings, only the process result and the scope of information outlined in the Tenant Certificate are visible, not full financial documentation.
